The Problem

A high school event committee needed to secure sponsors for their graduation celebration. Two students, limited time, and 450+ potential companies to contact. Traditional approach: hand-writing emails one by one, tracking responses in a spreadsheet, following up manually. Estimated time: weeks of full-time work.

The Solution

An n8n workflow powered by Claude AI that handled the entire outreach pipeline end-to-end:

  1. Research phase — Claude analyzed each company from the prospect list, understanding their business, typical sponsorship interests, and local ties.
  2. Email generation — Every single email was uniquely written by Claude. No templates, no mail merge fields. Each message referenced specific company details, making it indistinguishable from a hand-written email.
  3. Sending & tracking — n8n handled batch sending with natural timing delays, logged every email in Google Sheets, and monitored for responses.
  4. Response classification — Incoming replies were automatically classified: interested, declined, or question. Follow-up actions were routed accordingly.
