450 emails. 17 sponsors.
Zero manual work.
How AI-powered outreach automation turned a two-person committee into a sponsor acquisition machine — achieving a 17.8% response rate where industry average sits at 1-5%.
The Problem
A high school event committee needed to secure sponsors for their graduation celebration. Two students, limited time, and 450+ potential companies to contact. Traditional approach: hand-writing emails one by one, tracking responses in a spreadsheet, following up manually. Estimated time: weeks of full-time work.
The Solution
An n8n workflow powered by Claude AI that handled the entire outreach pipeline end-to-end:
- Research phase — Claude analyzed each company from the prospect list, understanding their business, typical sponsorship interests, and local ties.
- Email generation — Every single email was uniquely written by Claude. No templates, no mail merge fields. Each message referenced specific company details, making it indistinguishable from a hand-written email.
- Sending & tracking — n8n handled batch sending with natural timing delays, logged every email in Google Sheets, and monitored for responses.
- Response classification — Incoming replies were automatically classified: interested, declined, or question. Follow-up actions were routed accordingly.

Human Time Spent
The committee spent under 2 hours total on human work — reviewing the prospect list and approving the final sponsor agreements. Everything else was automated. The 17.8% response rate vastly exceeded the typical 1-5% for cold outreach.
Key Insight
The difference between this and generic mass email was personalization depth. Claude didn't insert a company name into a template — it wrote a genuinely unique message for every recipient. That's what drove the response rate. Automation doesn't have to mean impersonal.
